Terms & Conditions
These Terms govern the use of StomaGrid, a cloud software service for dental clinics, provided by StomaGrid Tech Unit, Plot no.20, Saptshrungi Bungalow, Jawahar Bakery Road, Dhankwadi, Pune, Maharashtra, 411043 ("StomaGrid", "we"). StomaGrid is a business-to-business (B2B) software service. It is sold only to dental clinics and dental practitioners ("Clinic", "you"), not to patients or consumers. By paying for or using StomaGrid you accept these Terms, the Privacy Policy, the Data Processing Agreement and the Refund & Cancellation policy.
1. The service
StomaGrid provides clinic software: patient records, an interactive FDI chart, billing, WhatsApp utility messages, a Google Drive file vault, optional AI features and an optional AI voice receptionist. The Clinic can switch features on or off. A feature that is switched off sends and collects nothing.
2. Accounts and users
The Clinic chooses its authorised users (owner, doctor, receptionist, assistant, accountant) and is responsible for their credentials and for what they do in StomaGrid.
3. Free trial
New clinics may receive a 14-day trial. A trial ends automatically at the end of the 14 days. After the trial a paid plan is needed to keep automation running.
4. Plans, prices and tax
Plans are priced by monthly WhatsApp message volume and are published on our website without GST. GST at 18% is added at checkout. The AI voice receptionist is a separate subscription.
5. Prepaid subscriptions
All subscriptions are prepaid for 1, 3 or 12 months. We do not charge your card or UPI automatically unless you choose to enable auto-debit. We send renewal notices 7, 3, 1 and 0 days before a term ends.
6. What happens at expiry
When a term ends without renewal, automation stops instantly: no patient messages are sent, the AI voice receptionist stops answering calls and AI features stop. You can still sign in to a renewal screen with read-only access and export your records for 30 days. We do not delete your records at expiry.
7. Message and minute limits
Each plan includes a monthly message volume that resets every month and does not roll over. StomaGrid sends at most 3 WhatsApp utility messages per patient visit. Sending stops (messages are held) at the plan limit unless the clinic opts in to extra messages at ₹0.30 each. Voice minutes follow the same rule; extra voice minutes cost ₹8 each if the clinic opts in.
8. Upgrades, downgrades and cancellation
An upgrade takes effect at once, with credit for unused days. A downgrade takes effect at the next renewal. Cancelling stops renewal and keeps access to the end of the paid term. Refunds are governed by the Refund & Cancellation policy.
9. Your responsibilities
You will use StomaGrid lawfully; obtain the patient consent and give the notices that the law requires; keep clinical information accurate; review all AI output before relying on it; and not use StomaGrid to send promotional or unsolicited messages. You will follow the terms of the third-party services you connect, such as WhatsApp and Google.

AI features assist the clinic. They are not medical advice, and the doctor decides what enters the record. See the AI & Recording Notice.
11. Third-party services
StomaGrid relies on third parties such as Meta (WhatsApp), Google, Razorpay, Telegram and AI and SMS providers. Their availability and terms apply, and we do not control them.
12. Your data
The Clinic owns its patient data. StomaGrid processes it on the Clinic's behalf as described in the Privacy Policy and the Data Processing Agreement.
13. Availability and support
We work to keep the service available but do not promise uninterrupted service. Support is on WhatsApp, 9 AM to 7 PM (IST), Monday to Saturday.
14. Liability
To the extent permitted by law, StomaGrid is not liable for indirect or consequential loss, and our total liability for a claim is limited to the fees paid for the subscription term in which the claim arose. Nothing in these Terms limits liability that cannot be limited by law.
15. Suspension and termination
We may suspend a Clinic for non-payment, unlawful use or breach of these Terms. You may stop using StomaGrid at any time.
16. Changes
We may update these Terms. The version and date at the top of this page show the current version.
17. Governing law
These Terms are governed by the laws of India. The courts at Pune, Maharashtra, India have exclusive jurisdiction.
